Gender Identity and Pronouns

The goal of the Gender Identity and Pronouns project is to capture gender identity, sexual orientation, and pronouns in the UCPath system to align with the Gender Recognition and Lived Name Policy.

Why are we implementing this project?

The goal of the Gender Identity and Pronouns project is to capture gender identity, sexual orientation, and pronouns in the UCPath system to align with the Gender Recognition and Lived Name Policy.

This project will:

  • Update system options for Gender Identity and Sexual Orientation as some values are outdated  
  • Allow system to collect Employee pronouns
  • Implement Oracle delivered solution for consistency and scalability for future delivered changes 

What is the project timeline?

The project will be kicked off in September 2023 with a targeted go-live on July 2024.

  • Discovery Session: August 2023
  • System Testing: March 2024 – June 2024
  • UAT: April 16, 2024 - June 18, 2024
  • Go-Live: July 15, 2024*

What's changing?

  • Updated Selection Values: Gender identity and sexual orientation values will be updated to be more inclusive and comply with the Gender Recognition and Lived Name Policy
  • Pronoun Selection: Employees will be prompted to select a pronoun option. Pronouns are not confidential and will be visible to managers, HR administrators, and UCPath Employee Services. 
  • Pronoun Visibility: Pronouns will appear near the employee’s name and will display on Employee Self-Service pages, Manager Self-Service pages, and PeopleSoft pages that display a mouseover popup over the employee’s name. Pronouns will not display on pages that show Legal Name.

Note: Gender Identity and Sexual Orientation information is confidential. Pronouns are not confidential. If you do not want your pronouns displayed in the UCPath system, select Decline to State when prompted.

The following screen will appear for all new and current employees after logging into the UCPath portal after go-live.

Note: Once employees have updated their information through the Onboarding Wizard, future changes must be made through the Employee Self-Service portal.

Employee Self-Service

To update your personal information, log in to UCPath and navigate to Employee Actions > Personal Information > Self-Identification Details. A new Self-Identification Details landing page will pop up for you to input your pronouns if you choose to include them.

Manager Self-Service

All pages under Manager Self-Service will display pronouns if a team member has opted to share them. The pronouns field will be blank if no pronouns are listed or if the employee declines to state their pronouns.

Where will pronouns display in the UCPath system?

Please note that pronouns are not confidential. If you do not want your pronouns displayed in the UCPath system, select Decline to State when prompted.

  • Employee Self-Service pages
  • Manager Self-Service pages
  • For transactors: PeopleSoft pages that display a mouseover popup over an employee's name

When an employee logs in to UCPath, if they have not already entered their pronouns, they will be prompted to do so. Anyone with access to an employee's pronouns is expected to respect and use them appropriately.

How will pronouns be displayed in UCPath?

In the Employee Self-Service portal, your pronouns are shown in parentheses under your name in the top left corner.

Transactors and users with Inquiry access in UCPath will see your pronouns when hovering over your name at the top of select UCPath pages, found above, under the Gender Identity and Pronouns Preparation section.

I don't want my pronouns displayed. What do I do?

If you do not want your pronouns shared or displayed within the UCPath system, select Decline to State when prompted.

Why can't I update my pronouns as a contingent worker?

Contingent workers, POIs, and dependents do not have access to the Employee Self-Service portal where pronoun selections can be made.

Will pronouns be displayed on all pages within UCPath?

No. Only pages that display a mouseover for the employee’s name will display pronoun information. If the page displays the employee’s Legal Name, instead of their Name, pronoun information will not be available, even if there is a mouseover.

Where can I find someone's pronouns in UCPath?

When viewing employee data on a transactional or inquiry page in UCPath, the employee’s name may be shown at the top of the page in bold text with a dotted underline. If so, hover your mouse over the name. A mouseover card will display employee information, including their pronouns if available.
