Login to UCPath

There may be circumstances where employees will have problems accessing the UCPath online portal. Below are the steps to help ensure that access issues get resolved as quickly as possible.

  • Is the issue that you get a login error or that you don't see the information that you expect?

What to Expect

  • LOGIN ERROR
  1. Your Supervisor or HR Contact will validate that you have an active UCPath record and an Employee ID has been created.  They will check your hire date, you cannot access the portal before your hire date
  2. Your Supervisor or Department DSA will verify you are using the proper username login credentials. If you do not know your password, you will be directed to reset it at https://password.ucsd.edu
  3. If Step #1 and #2 do not correct the situation, ask your supervisor to submit a ticket to ITS https://support.ucsd.edu/ITS
  • INFO IS MISSING OR INCORRECT
    • You will be directed to submit a ticket to UCPC using the “Ask UCPath” option in the portal

  • DSA for login credentials, ITS if login error continues, UCPC if info displayed is incorrect  

What to Do 

  • Ask employee: Is the issue that you get a login error or that you don't see the information that you expect?
  • LOGIN ERROR – Check if eligible to use the portal 
  1. HR Contacts: Use Person Org Summary page in UCPath to verify that the employee has an active UCPath employee record and an Employee ID has been generated.  
  2. Check that the employee hire date is not in the future, employees cannot access the portal before their hire date.  
  3. Advise employees they must wait up to 24 hours after the ID has been generated to gain access to the UCPath online portal. 
  • LOGIN ERROR – Confirm AD credentials with employee 
  1. Supervisor: Verify employee is using the correct username by going to the online portal and checking your direct reports.  In the additional information section, the Business Email will be displayed.  The username is the part before the @ sign. 
  2. If the employee needs to reset their password, direct them to https://password.ucsd.edu 
  3. If the problem persists, correct credentials are being used, it has been over 24 hours and the hire date is not in the future, submit a ticket to ITS at https://support.ucsd.edu/ITS 
  • INFO IS MISSING OR INCORRECT 
    • Direct employee to submit a ticket to UCPC using the “Ask UCPath” option in the portal 

What Happens Next 

  • For login error, ITS will work directly with employees to troubleshoot employee account issues.  
  • For missing or incorrect information, UCPC will work directly with employees to resolve issues.  

 

Accessing UCPath as a Transactor

When your job responsibilities include the role of HR and/or Funding Transactor in UCPath you must complete the required training and then request transactor access. Find more detailed information on the Roles and Access page; after completing training requirements follow the steps below to request access.

  • Questions about your eligibility for access and your UCPath transactor role should be directed to your Supervisor.

How to Request Access after Training Requirements Complete

What to Expect

  • The Form routes to your supervisor for approval if you complete it yourself
  • After Supervisor approval the form routes to the access team for provisioning. Please allow 3-5 days for access to be granted

How to Request Access after Employee Completes Training Requirements

  • Approve request when it routes to you, there are two options
  1. You will receive an approval pending notification email and can approve or reject within that notification
  2. Login to UCPath Support > My Stuff > Approvals >
  • A list of pending approvals is displayed

What to Expect

  • After you approve the request, the form routes to the access team for provisioning. Please allow 3-5 days for access to be granted
  • If the data in the access form is incorrect or not populating as expected, please submit a case by going to support.ucsd.edu/path > get help & order services > ‘submit a ticket >assign to UCPath-Access team

Viewing and Updating Information/Preferences

  • Updating my Personal Information, including, but not limited to, home address, email information, phone numbers, and emergency contact information
  • Updating my W-4 Withholdings
  • Enrolling in or updating my direct deposit information
  • Viewing my vacation and sick balances
  • Viewing my Income and tax documents

If you are unable to view or update your information
  • Submit a case to the UCPath Center (UCPC) by clicking the "Ask UCPath” button or
  • Request your department to submit a ticket on your behalf

Be Ready to Provide the Following Information

  • Your Name, Employee ID, and details on the information you would like to update.

What to Expect

  • Self-service is the only way to update your personal information.

What Department HR/Academic Personnel/ARC/HHR Contacts Should Do

Who to Contact

  • If the employee is unable to update or view their Personal Information or W-4 Withholdings in UCPath online - Contact UCPC or submit a case on behalf of (SOBO)
  • For vacation and sick balances in EcoTime - Contact CCP or submit a case on behalf of the employee via SNOW https://support.ucsd.edu

What To Do

  • Encourage the employee to access UCPath online and take advantage of self-service to update their information
  • If the employee cannot access UCPath, refer to Login to UCPath.
  • If you need further assistance, contact your Central Office or submit a case to CCP via SNOW https://support.ucsd.edu. Include the Employee Name and Employee ID of the employee that you are inquiring about and provide screenshots or detailed description of the issue.

UCPath Labor Ledger (DOPES) Discrepancies
